What is Clergy Connect?
A tool the diocese uses to schedule and coordinate coverage for Masses, confessions, funerals, and weddings — so when a pastor or deacon can't make one of their regular commitments, another pastor nearby can step in without a chain of phone calls.
How do I get an account?
The diocesan office sets up your account and emails you your sign-in details. If you haven't received one, contact the diocesan office directly.
I forgot my password — what do I do?
On the sign-in page, click "Forgot password?" and enter your email — you'll get a link to set a new one. Open that link on the same device you requested it from.
How do I ask for a substitute?
From your Dashboard, open "Request a Sub," pick the Mass, confession, or event and the date, and submit. Depending on the type, it either goes to the diocesan office for approval first, or straight out to eligible clergy.
How will I know if my request was approved?
Check the "Needs your attention" section of your Dashboard — the status badge updates as it moves from Pending approval → Open for coverage → Covered.
How does the app decide who to ask to cover for me?
It looks at every pastor and deacon whose travel radius reaches the parish that needs coverage, skips anyone marked on vacation for that date, and emails everyone who qualifies at once — first to claim it gets it.
I got an email about an open Mass — how do I claim it?
Click the link in the email. If you're already signed in, Dashboard → "Open across the diocese" also shows everything currently open, with a one-tap claim button.
What if two people try to claim the same one?
Whoever clicks first is confirmed instantly. Whoever clicks second gets a message letting them know it's already taken — no double-booking.
Can I claim something I wasn't personally emailed about?
Yes — anyone signed in can claim any open request from Dashboard → "Open across the diocese," even if it's outside your usual travel radius.
Can I mark myself unavailable ahead of time?
If your diocese has vacations turned on, yes — add date ranges from My Profile. You won't be emailed about others' coverage needs during that time, but your own Masses still show up normally everywhere.
Why didn't I get an email about a nearby open Mass?
A few possibilities: it's outside your travel radius, you've turned off coverage emails in My Profile, or you're marked on vacation for that date. You can always check Dashboard → "Open across the diocese" directly instead of waiting on email.
Can I change my travel radius or turn off coverage emails?
Yes — both are in My Profile, and take effect immediately.
Can I use this on my phone?
Yes — the site works in any mobile browser, no app to install.
Who can see my schedule?
Any signed-in clergy member in the diocese can see the shared Calendar and who's covering what — that's the point, so coverage doesn't require phone-tag. See the Privacy & Data Handling page for more detail on what's collected and who can see it.
Is there a larger-text option?
Yes — toggle "Larger text" in the footer of any page. It's remembered on that device.
Something looks wrong, or I found a bug — who do I tell?
Contact your diocesan office; they can reach the site administrator on your behalf.

How the logic works

A searchable reference for exactly how the app decides things — if this situation applies, here's what happens.

Submitting a request

If the slot's type is checked under Settings → Auto-approval...
...then your request skips the Pending approval queue entirely. It's created already open, and eligible clergy are emailed right away.
If the slot's type is not checked under Auto-approval...
...then your request goes to Pending approval, and the diocesan office is emailed to review it before anyone else is contacted.
If the slot is a one-off event (a funeral or wedding with a fixed date)...
...then the date you request must match that slot's scheduled date exactly — the form won't accept a different date for it.
If an admin submits a request on your behalf...
...then it's always created already-open and clergy are notified immediately, regardless of whether that slot type has Auto-approval turned on.

Getting matched for coverage

If you're an admin...
...then you're never matched or emailed as a coverage candidate for anyone's request — that only happens to pastors and deacons.
If you've turned off "Email me when nearby coverage is needed"...
...then you won't be matched or emailed, even if you'd otherwise be eligible.
If the parish that needs coverage is farther than your travel radius...
...then you won't be matched for it, no exceptions.
If you serve more than one home parish...
...then matching uses whichever one is closest to the parish that needs coverage — not the sum or average of all of them.
If you have a vacation on file covering the request's date...
...then you're skipped for that request's coverage emails and reminders. You can still see and manually claim it if you want to, and your own schedule stays completely normal.
If nobody happens to be an eligible match...
...then the request simply stays open with nobody emailed. An admin can still see it in Approvals, and anyone signed in can claim it manually from the Calendar or Dashboard.

Claiming coverage

If you click a claim link from an email...
...it only works if the request is still open at that exact moment — the first click to land wins, and the request flips to filled instantly.
If someone else already claimed it first...
your claim link (or the "I'll cover this" button) will tell you it's already taken instead of double-booking it.
If you claim something from Dashboard → "Open across the diocese"...
...it works regardless of your travel radius or vacation status — self-claiming isn't limited to people who were actually matched and emailed.
If your diocese sets a claim-link expiry (Settings → Claim links)...
...then a one-time claim link stops working once that many days have passed since it was sent, even if the request is still open. Left blank, links never expire.

Reminders & staying on top of unfilled requests

If a request has been open for the configured Reminder 1/2/3 days...
...then the same eligible clergy who got the original email get a follow-up reminder. Each of the three reminders fires at most once.
If a request has been open for the configured "Notify diocese" days...
...then the diocesan office, the backup contact (if set), and the original requester are all emailed that it's still unfilled. This also fires at most once per request.
If a request was never approved (still Pending approval)...
...then it's excluded from reminders and stale-request notices entirely — those only apply once a request has actually been approved and is open.

Cancelling a request

If you cancel your own request and nobody has claimed it yet...
...it's cancelled immediately, no confirmation needed from anyone else.
If someone has already been confirmed to cover it...
...then you can no longer cancel it yourself. At that point, contact the diocesan office to sort it out.

Vacations

If your diocese turns vacations off in Settings...
...then the vacation section disappears from everyone's My Profile, and any vacation dates already on file stop affecting matching — they're ignored, not deleted, so nothing is lost if it's turned back on.
If your vacation date range overlaps a request's date at all...
...even by a single day on either end, you're excluded from that request's matching. The range includes both the start and end dates you chose.

Notifications & approvals (diocesan office)

If a request needs manual approval...
...then every admin account gets an email (plus the backup contact, if one's set). Approving it immediately triggers the same candidate-matching emails an auto-approved request would get.
If you deny a request...
...it's marked denied with your note (if you left one), and nobody is emailed to cover it.
